General Office Assistant Details Apply
General Office Assistant As General Office Assistant, you’ll back up the Guest Relations Desk, distribute mail, create correspondence, reports, emails, and handle company related errands. Also, maintain department inventory, set-up and coordinate department events, and assist in training preparation for new hires. For a full job description and to learn about us and visit www.TriVita.com/careers The General Office Assistant’s primary responsibility will be to serve as the designated backup to the Guest Relations Desk and support the Administrative Supervisor. The General Office Assistant will provide administrative support by performing various duties, such as conducting research, preparing reports, handling information requests, and performing clerical functions. This position will interact with staff (at all levels) in a fast-paced environment and must remain flexible, proactive, resourceful, and efficient. A high level of professionalism and confidentiality is crucial to this role. This person must be able to anticipate project needs, discern work priorities, and meet deadlines while working under the direction of the Administrative Supervisor.

  • Act as the designated backup for the front desk:
    • Create a welcoming environment and provide an exceptional customer experience by greeting and interacting with visitors/clients/candidates, and other persons coming into the office.
    • Receive, direct, and relay telephone calls and messages to the appropriate extension.
    • Maintain visitor and vendor sign-in sheets. Follow-up with vendors on behalf of corporate as needed (i.e., janitorial services, plant watering company, etc.)
    • Sign for packages and food deliveries and organize mail coming in and out of the office.
    • Offer information to staff guests.
  • Support the Administrative Supervisor/Manager:
    • General clerical duties: photocopying, fax, scanning. Correspondence, reports, drafts, memos, company-related errands, and emails.
    • Draft written communication and forward the necessary contact center information to CARE employees across all department worksites: Daily Post, CARE Com, Health Bug, Job Aids, etc.
    • Maintain office supply inventories and process department Product Requisition orders.
    • Open, sort, and route incoming mail, answer correspondence and prepare outgoing mail.
    • Set up and coordinate department and company events as needed.
    • New hire preparation: put together training manual, order supplies, and set-up desk.
    • Schedule and coordinate Corporate Office Tours. Provide directions and other pertinent information to our guests.
    • Provide backup support to all call queues during high call volume.
    • Act as a backup to the Administrative Team when they are out of the office and additional projects as requested by the Administrative /Supervisor/Manager or Leadership.
 

Knowledge and Skill

  • Proficient computer skills and knowledge of relevant software.
  • Knowledge of the operation of standard office equipment.
  • Knowledge of clerical and administrative systems.
  • Two years of administrative experience is required.

FAQs

What Roles do you typically have available?

Our most frequent openings are for Wellness Consultants and Service Specialists. We also occasionally hire for Lead positions as well as Specialty positions such as Work Force Management.

What if I don’t have call center experience?

That’s okay! We’re not a typical call center. Our mission is to help people experience wellness. If you love people and care about wellness, you should take a look at TriVita.

What is your training like?

New hires love our training because we discover their learning style and train them in a way that works best for them! We have a fantastic mentorship program and conduct weekly and monthly product and skills training. Most new hires start with 2 full weeks of training before they begin fielding calls with our Members. We have some of the best training materials available and even conduct mock calls to help you feel comfortable!

Can I work remotely?

At this time, we do not offer remote positions. Come and check out our beautiful Scottsdale campus – you’ll love it.
